This Privacy Policy explains how RemitWatch ("RemitWatch," "we," "us") collects, uses and protects information when you visit getremitwatch.com, book a call, purchase a service or receive messages from us.
Information we collect
- Contact and business details you give us when you book a call, place an order or contact us: your name, agency name, role, work email, phone number and the EHR system you use.
- Payment information, which is processed by our payment provider. We do not store full card numbers.
- Basic website data such as pages visited, browser type and referring page, collected through standard cookies and analytics.
Client health information
Our website and booking forms are not for health information. Please do not enter client names, Medicaid IDs or other protected health information (PHI) on this site.
When an agency engages us for a Remit Snapshot, Revenue Leak Audit or ongoing service, any PHI we receive is handled only under a signed Business Associate Agreement (BAA), collected through secure channels, and processed in HIPAA-compliant tools. That BAA, not this policy, governs how PHI is used and protected.
How we use your information
- To schedule and hold calls you book, and send confirmations and reminders
- To deliver the services you purchase and communicate about them
- To process payments and keep business records
- To send updates and educational content, only if you have opted in
- To improve our website and services
Text messaging (SMS)
If you opt in to text messages, we use your mobile number to send the messages you agreed to, such as appointment confirmations and reminders, order updates and, only with your separate consent, marketing messages. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time or HELP for help.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. We may share information with service providers that help us deliver messages, only for that purpose.
How we share information
We do not sell your personal information. We share it only with service providers who help us run our business (such as scheduling, email, payment and messaging providers), when required by law, or to protect our rights.
How we protect information
We use reasonable administrative, technical and physical safeguards, including access controls, multi-factor authentication and HIPAA-compliant tools for any client data. No method of transmission or storage is completely secure, but we work to protect your information.
How long we keep information
We keep contact and business records for as long as needed to provide services and meet legal and accounting requirements. PHI is kept, returned or destroyed as set out in the applicable BAA.
